Are the AI products GDPR-compliant?

We've put the groundwork in place and are open about how the processing works: – Contractually covered: we have a data processing agreement (DPA) with our software supplier. Its servers are located in the USA; standard contractual clauses are used for transfers outside the EEA. – No AI training: the photos are not used to train the artificial intelligence. – Deletion: after one month by default – earlier on request, for example directly after your event. – Consent: on request we display a notice before the session which guests actively agree to. – No facial recognition for identification: the AI generates images, it doesn't match people against anything. Worth knowing: at corporate events you as the organiser are responsible under data protection law and we work on your behalf. Let us know early if special requirements apply to your event – we're happy to work out the details with you. All our AI products use the same software and therefore the same process.

Are the photos made available after the event?

Yes. After the event, all images can be made available digitally or added to an online gallery.

Are the photos shown live at the event?

Yes. All approved images appear instantly in a dynamic live slideshow on one or more screens.

Are there travel costs outside Vienna?

In Vienna, delivery, setup and takedown are included in the price. Outside Vienna there are travel costs – they depend on the distance and are stated transparently in the quote. We work throughout Austria.

Can guests give their consent before the photo is taken?

Yes. Before the session starts, a notice can be displayed which guests actively agree to before they're photographed. We agree the wording with you – at corporate events this is often requested. Let us know with your enquiry and we'll set it up.

Can photos be edited or generated with AI?

Yes. Guests can optionally generate or creatively edit their images with AI prompts. This creates unique visuals matching the event or theme.

Can the AI Guest Booth be adapted to my event?

Almost everything can be adapted to your event: – the landing page guests reach after scanning the QR code – the overlays on the photos – logo, frame, event title – the background and the transitions of the slideshow – the print layout Slideshow and printing can also be switched on or off independently of each other. Want just the live wall without prints? No problem.

Can the photos be checked before they're shown?

Yes. On request we set up moderation: every uploaded picture is checked before it appears on the screen or gets printed. That matters especially at corporate events, trade fairs and brand activations – nothing unsuitable should end up large on the wall there. At private parties many people deliberately skip it so the pictures appear without delay. Tell us with your enquiry how you'd like to handle it.

Does it cost more if the booth runs longer?

No. We charge per event day, not per hour. Whether the booth runs for two hours or well into the night makes no difference to the quote – up to twelve hours on the event day are possible. If your event continues the following day, a second event day is added. The only thing booked by the hour is an attendant on site. On the units that always run attended – 360° Headspinner, 360° Ground Spinner, photo booth robot, AI Sketcher and Photo Mosaic Wall – the standard package includes a fixed number of attended hours, and you can book additional hours on top.

Does the AI Guest Booth need an internet connection?

Yes – guests upload their pictures via the mobile network or the venue's Wi-Fi, and our system pulls them in for the slideshow. In most venues this works without any preparation. If your rooms are known for poor reception, or you're expecting a lot of guests, guest Wi-Fi is an advantage. Just let us know with your enquiry what the situation is at your venue – we'll sort it out together beforehand.

Do guests need to install an app?

No. It works entirely in the browser. No app and no download required.

Do you provide a screen or do I need my own?

Both work – we provide a screen, or we use one that's already there. Anything big enough is suitable: a TV, a monitor or a projector. If your venue already has a screen or an LED panel, we simply play the slideshow on it. Tell us with your enquiry what's available on site – then we'll clarify the technical details in advance.

How does the AI Guest Booth work?

Guests scan a QR code and land on an individual landing page. There they can upload photos or generate AI-based images. All content is collected in real time and displayed on the screen.

How long are the photos stored?

You decide how long the pictures stay available. The standard storage period is one month – long enough for guests to download their pictures at their leisure. After that they're deleted. If you want it shorter, we'll set that up: directly after the event or at another agreed time. Just let us know with your enquiry.

How long does the AI Guest Booth run at the event?

For a full event day. There is no hourly limit like with a classic photo booth. We set up in good time before the start — that takes about 30 minutes — and collect everything after the event. Teardown takes about 20 minutes.

How long do setup and teardown take?

Setup takes about 30 minutes, teardown about 20 minutes. We arrive in good time before the event starts, set everything up, test upload, slideshow and printing and brief you on everything that matters. Setup and briefing are included; an attendant during the event can be booked on top.

How many guests can take part at the same time?

All of them at once – and that's the real difference to any other photo booth. Because every guest uses their own smartphone, there's no queue. With 300 guests, 300 people can take photos and upload them at the same moment. Nobody has to queue, nobody misses out because a speech is going on. At large events that's the advantage: a classic photo booth manages a limited number of sessions per hour – the Guest Booth doesn't have that limit.

How many prints are included?

The standard package includes 400 prints in 10 × 15 cm format — for a full event day. If that is not enough, you can book additional print paper. Let us know in advance and we will bring extra supplies. Printing can also be switched off entirely if you only want the live slideshow.

How much lead time do you need for a booking?

There is no fixed lead time — just ask and we will check the date. For a branded print layout, your own landing page and a customised slideshow we plan for about a week. Short-notice bookings are possible; the branding is then kept simpler.

How much space does the AI Guest Booth need?

Very little – the AI Guest Booth is our most space-saving product. There's no device for guests to line up in front of. All you need is a spot for the printer and a place for the screen, which should be clearly visible. Both can be distributed flexibly around the room. That means the AI Guest Booth fits even where there's no room left for a classic photo booth.

Is a deposit required?

No. You pay nothing in advance. We work on the principle of business before pleasure: the invoice comes only after the event, once everything has gone smoothly.

Is instant printing of the photos possible?

Yes. Selected images can be sent automatically to a connected printer and printed on site as high-quality keepsakes.

Is on-site staff required?

Not necessarily. The AI Guest Booth is self-explanatory: guests scan the QR code and upload their photo. Setup, testing and the briefing are handled by us and included. An attendant during the event can be booked on top — worth it for large events, or when photos are moderated and printed throughout the evening.

What happens if my event is cancelled or postponed?

We handle that flexibly and charge no cancellation fees. The only exception are products for which individually made parts have already been produced – the Photo Mosaic Wall or the AI Sketcher, for instance. In that case only the cost of the printing materials is charged. Just get in touch as soon as you know. If a replacement date is already fixed, we are happy to hold it for you.

What is the AI Guest Booth?

The AI Guest Booth is a smart photo booth without a camera. Guests use their own smartphone to take photos or generate new images with AI prompts, which are displayed live at the event and printed.

What power supply does the AI Guest Booth need?

One standard 230 V socket is enough. The screen and the printer run off it. A separate circuit is not required. If the screen and the printer are to stand in different spots in the room, let us know beforehand — we will bring the right extension cables.

What sets the Guest Booth apart from a classic photo booth?

There's no camera and no device to queue at. Guests take photos with their own smartphone. How it works: scan the QR code, take a photo or pick one from the gallery, upload. Seconds later the picture appears in the live slideshow on the big screen – and it can be printed on site. That covers something a classic photo booth can't: moments that happen anywhere in the room – at the table, on the dance floor, outside with the smokers. Not just the ones created in front of the booth.

Which AI device fits my event?

All four devices in our AI Line run the same AI effects. What differs is the form factor and the flow. The AI Photobooth is a compact column that needs only 1.5 x 1.5 m - first choice on trade fair stands and anywhere space is tight. The AI Magic Mirror is a large portrait-format mirror with full-body shots - first choice when the device itself should be an eye-catcher. The AI Guest Booth has no camera of its own: guests send photos from their own phones and get them back transformed - first choice with very large crowds or when the event spreads across several rooms. The AI Photo Booth Robot drives through the room and goes to the guests - first choice when the photo booth should not stay in one spot. The AI Guest Booth is a photo booth without a camera. Your guests shoot with their own smartphones: they scan a QR code, land on a landing page in your design and upload their picture in seconds. Moments later it appears in the live slideshow on the big screen — and, if you want, comes straight out of the printer.

Because nobody has to queue up in front of a device, every guest can join at the same time, even where a classic photo booth would no longer fit. The AI Guest Booth runs for a full event day with no hourly limit, 400 prints in 10 × 15 cm format are included, and additional print paper can be booked if you need it.

On site we set up a clearly visible screen and a printer. Together they need one standard 230 V socket and a stable internet connection. We set up in about 30 minutes, brief you on everything that matters and pack up in around 20 minutes after the event. Slideshow, printing and moderation can be switched on and off independently, and on request we review every photo before it appears on screen. The AI Guest Booth is mostly booked for company parties, trade fairs, product launches and weddings — in Vienna and across Austria. Outside Vienna there is a travel fee, stated transparently in the quote. It belongs to the AI Line. If you would rather have a device with a camera and instant printing, the Classic Line has the Photobooth Classic.
